RECRUITMENT OF AN EXECUTIVE ASSISTANT
Position: Executive Assistant to the CEO
Location: SMBI Building, Brusubi

As we continue to scale our operations and expand our impact, we are seeking a highly capable and experienced Executive Assistant to provide support to the Chief Executive Officer.

Role Overview:
The Executive Assistant will be responsible for providing administrative support to the CEO, ensuring seamless coordination of activities, effective communication, and proactive management of priorities. The ideal candidate will be a motivated person who thrives in high-pressure environments and demonstrates impeccable discretion and judgment.
Key Responsibilities:
The Executive Assistant will support the CEO on the day-to-day management of SMBI.
- Executive Support to CEO.
- Manage meetings for CEO and Board
- Keep Minutes of Meetings
- Follow up on decisions by creating Action Points for each meeting
- Support partnership engagements of CEO by conducting background research, accompanying the CEO at meetings, etc.
- Offer relevant support to policy course training by preparing PPT presentations.
- Support the creation of a knowledge platform of SMBI.
- Support knowledge and special events, panel discussions, development fora and annual conferences organized by SMBI.
- Facilitate consultancies by interfacing with consultants, etc. as requested by CEO.
- Administrative Support to the SMBI Website: Support the maintenance of a vibrant and up-to-date SMBI website with pictures of courses, programmes and events and stories.
- Perform Light Finance Functions
- Processing payments.
- Updating financial spreadsheets with daily transactions.
- Supporting monthly payroll and keeping organized records.
- Processing tax payments.
- Processing SSHFC contributions
- Recording accounts payable and accounts receivable.
- Participating in annual audits.
- Any other assignment from CEO – Carry out other related duties directed by the Chief Executive Officer.
The Ideal Candidate:
- Qualification: Advanced Diploma in Management, Office Management, Public Administration or related disciplines
- Experience: Minimum of 1 year work experience.
- Communication: Good written and verbal communication skills; confident liaising at all levels.
- Discretion: Trusted to manage confidential and sensitive information with care and integrity.
- Proactive: Anticipates needs and issues before they arise; always one step ahead.
- Organized: Demonstrates effective time management and attention to detail.
- Tech-savvy: Proficient with IT tools (e.g., Microsoft Office, virtual conferencing, etc).
