RECRUITMENT OF AN EXECUTIVE ASSISTANT

Position: Executive Assistant to the CEO
Location: SMBI Building, Brusubi
Organization: SMBI – Delivering World-Class Knowledge & Skills

SMBI is a forward-thinking, growth-driven Institute at the forefront of capacity building and training in management, business and information technology. As we continue to scale our operations and expand our impact, we are seeking a highly capable and experienced Executive Assistant to provide support to the Chief Executive Officer.

This is a unique opportunity for an agile and exceptionally well-organized individual to work at the heart of a young and dynamic organization, supporting the CEO and contributing to the efficiency and effectiveness of the executive office.

Role Overview:

The Executive Assistant will be responsible for providing administrative support to the CEO, ensuring seamless coordination of activities, effective communication, and proactive management of priorities. The ideal candidate will be a  motivated person who thrives in high-pressure environments and demonstrates impeccable discretion and judgment.

Key Responsibilities:

The Executive Assistant will support the CEO on the day-to-day management of SMBI.

  1. Executive Support to CEO.
    1. Manage meetings for CEO and Board
    1. Keep Minutes of Meetings
    1. Follow up on decisions by creating Action Points for each meeting
    1. Support partnership engagements of CEO by conducting background research, accompanying the CEO at meetings, etc.
    1. Offer relevant support to policy course training by preparing PPT presentations.
    1. Support the creation of a knowledge platform of SMBI.
    1. Support knowledge and special events, panel discussions, development fora and annual conferences organized by SMBI.
    1. Facilitate consultancies by interfacing with consultants, etc. as requested by CEO.
  1. Administrative Support to the SMBI Website:  Support the maintenance of a vibrant and up-to-date SMBI website with pictures of courses, programmes and events and stories.
  2. Perform Light Finance Functions
    1. Processing payments.
    1. Updating financial spreadsheets with daily transactions.
    1. Supporting monthly payroll and keeping organized records.
    1. Processing tax payments.
    1. Processing SSHFC contributions
    1. Recording accounts payable and accounts receivable.
    1. Participating in annual audits.
  3. Any other assignment from CEO – Carry out other related duties directed by the Chief Executive Officer.

The Ideal Candidate:

  • Qualification: Advanced Diploma in Management, Office Management, Public Administration or related disciplines
  • Experience: Minimum of 1 year work experience.
  • Communication: Good written and verbal communication skills; confident liaising at all levels.
  • Discretion: Trusted to manage confidential and sensitive information with care and integrity.
  • Proactive: Anticipates needs and issues before they arise; always one step ahead.
  • Organized: Demonstrates effective time management and attention to detail.
  • Tech-savvy: Proficient with IT tools (e.g., Microsoft Office, virtual conferencing, etc).
